Your Team: Chef, Staff & Cashier

Everyone who works a shift gets their own account. The role you pick when you create it decides which app that person can sign in to, and the system credits every dish to whoever cooked and served it.

What each role does

Create a chef, staff or cashier account

Open the Staff page in the portal. Three buttons sit in the top-right corner: + Add Chef, + Add Staff and + Add Cashier. They work identically — the button you press decides the role, and the role decides which app that person can sign in to.

  1. Click the button for the role you want to create.
  2. Full Name — the person's real name, for example John Smith. It's shown on dish cards ("by John") and in the served history, so use a name the rest of the team recognises.
  3. Account Name — the username they will type to sign in, for example chef_john. Only letters, numbers and underscores are allowed — no spaces, hyphens, dots or accents. It must be unique within your restaurant; if it's already used you'll see "account name already taken", so pick another one.
  4. Password — at least 8 characters. Use the 👁️ icon to check what you typed.
  5. Click Save. The new person appears in the table with their name, account name, role badge and join date.

Now give that person three things: your Restaurant URL (from the Dashboard, where a Copy button sits next to it), their account name, and their password. Repeat for every chef, staff member and cashier — each person should have their own account, because the system credits dishes to whoever cooked and served them.

Tip

A prefix per role — chef_, staff_, cashier_ — makes accounts easy to recognise later on the Staff page, and stops two people accidentally sharing a name.

How your team signs in

Nobody needs to type a web address. Everyone starts from the same place — the Restaurant Portal button at the top of our website — and then picks their own screen:

  1. Open our website and click Restaurant Portal.
  2. At the bottom of the sign-in card is a row labelled Team Sign In with three buttons: 👨‍🍳 Chef, 🛎️ Staff and 🏪 Cashier. Click the one that matches the job.
  3. Fill in the three fields on the form that opens:
    • Restaurant URL — your restaurant's public ID, the same for everyone on the team (for example the-golden-fork).
    • Account Name — the username you created for that person.
    • Password — the password you set.
  4. Press the sign-in button — Enter Kitchen for a chef, and the equivalent for staff and cashiers.

Each sign-in page only accepts its own role. A staff account entered on the chef page is refused with "Chef access only" — the person clicked the wrong button, not the wrong password. If the credentials themselves don't match, including a mistyped restaurant URL, the message is "invalid credentials".

The manager signs in differently: on the Restaurant Portal itself, with the email address and password from registration, not a restaurant URL and username.

Once someone is signed in, bookmark the page on the device that does that job — the kitchen tablet, the till, the phone behind the bar — so it opens straight away next time. Every screen has a language switcher, which offers the languages you enabled for team apps in Settings, and a power icon (⏻) in the top-right corner to sign out. Sessions expire after a while, and the screen returns to its sign-in page by itself when that happens.

Change a password or remove someone

On the Staff page, every row has two controls:

  • ✏️Change Password. Type a new password (at least 8 characters) and save. Use this when someone forgets theirs; there is no self-service reset for team accounts.
  • Remove — deletes the account after a confirmation box. That person can no longer sign in, but the dishes they cooked and served stay in your order history. You can't remove your own manager account.
